- Bilingual (SPANISH)
- Familiarity w/Contract Administration – specifically in property management or construction industry
- Software: Access
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide administrative support to team of 5-7 managers and their foreman
- Maintain department database through Microsoft Access with high level of familiarity and accuracy
- Manage department AR/AP and purchasing Issue purchase orders and track purchases/invoices
- Set up and maintain electronic files for all accounts
- Auditing accounts and collections
- Job Costing, reports, reconciling and forecasting
OTHER DUTIES AND RESPONSIBILITIES
- Track office supplies and orders
- Track permits/business licenses
- Serve as back-up
- Receptionist for front office
- Provide occasional support to other departments
MINIMUM QUALIFICATIONS AND EXPERIENCE
- Bilingual English/ Spanish preferred, but not required (both spoken / written)
- 2-3 yrs of contract administrator experience in the landscape maintenance/property management /construction industry
- Ability to organize and prioritize work and accuracy with detail are required
- Multi tasking various projects at once, with regular interruption
- Must be proficient with Personal Computer and MS Office software: Outlook Word Excel Access (advanced knowledge) Timberline (preferred but willing to train the right candidate)
