  • Bilingual (SPANISH)
  • Familiarity w/Contract Administration – specifically in property management or construction industry
  • Software: Access

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide administrative support to team of 5-7 managers and their foreman
  • Maintain department database through Microsoft Access with high level of familiarity and accuracy
  • Manage department AR/AP and purchasing Issue purchase orders and track purchases/invoices
  • Set up and maintain electronic files for all accounts
  • Auditing accounts and collections
  • Job Costing, reports, reconciling and forecasting

OTHER DUTIES AND RESPONSIBILITIES

  • Track office supplies and orders
  • Track permits/business licenses
  • Serve as back-up
  • Receptionist for front office
  • Provide occasional support to other departments

MINIMUM QUALIFICATIONS AND EXPERIENCE

  • Bilingual English/ Spanish preferred, but not required (both spoken / written)
  • 2-3 yrs of contract administrator experience in the landscape maintenance/property management /construction industry
  • Ability to organize and prioritize work and accuracy with detail are required
  • Multi tasking various projects at once, with regular interruption
  • Must be proficient with Personal Computer and MS Office software: Outlook Word Excel Access (advanced knowledge) Timberline (preferred but willing to train the right candidate)
